Assign Members Automatically to a Group

Hey there! In this article, we'll show you how to set up automatic group membership in Spreadly. This feature lets you define rules so that users are automatically added to the right group—no manual assigning needed!


Automatic group membership is updated every hour, so changes may take up to 60 minutes to take effect.


How to Set Up Automatic Group Assignment


1. Go to Your Groups


First, open the Groups section in your Spreadly team settings. Here you’ll see all your available groups.

2. Select the Group You Want to Configure


Click on the group you want to set up for automatic assignment. In this example, we're choosing Digital Cards.


3. Find the “Assign Members Automatically” Section


In the group’s settings, scroll down to the Assign members automatically section.

4. Choose Your Assignment Rule


  • Click the first dropdown to select which user field will be used for the rule (e.g., Email, Department, Organization, etc.).
  • In the example, we selected Email.

  • Next, pick the condition (Equal, Contains, NotEqual).
  • Here, we chose Contains.

  • Enter the value you want to use for the rule. For example, to add everyone with an email ending in @spreadly.app, enter that into the field.

5. Save Your Settings


After setting your rule, hit the Save button at the bottom. Members matching your rule will now be added automatically—updated every hour!




Extra Info


  • You can use the Assign now button to apply the rule immediately.


  • To check when the last automatic assignment ran, look below the rule configuration. The timestamp shows you the last update.
