How to Set Up Spreadly: First Steps for Your Team

How to Set Up Spreadly: First Steps for Your Team
This guide walks you through the initial setup of Spreadly for your team. By the end, you'll have invited members, assigned admin roles, created templates and cards, and sent your first card.

Before you start
You need Admin permissions to send invitations and assign roles.
Make sure you have the work email addresses of the team members you want to invite.

Phase 1: Invite Team

  • Go to Team → Members → Add members
  • Choose how you want to add users:
  • Enter manually: add one or more email addresses one at a time.
  • Paste a list: paste a list of email addresses
  • Upload a file: upload or drag a file with the email addresses of your members
  • HR integrations: import members from your HR system. This option is only available if the integration is active

For more details on how to add users refer to How to Add Users

Phase 2: Assign Admin Roles

  • Go to Team → Members
  • Find the user whose role you want to change in the list and click on them
  • In the Usage section, select the admin role or roles you want to assign to this user, then turn them on (you can also turn on all of them)
  • Click Save

Admins can edit account settings and remove other team members. Assign the admin role only to colleagues you fully trust.

For a detailed description of admin roles refer to Admin Roles

Phase 3: Create Cards

  • Go to Digital Business Card → Digital cards
  • Click + Create cards
  • Select the team members you want to create a card for
  • Choose a layout for the cards: you can either create a new template or, if you have already designed your own card in Spreadly, use that existing design.
  • If you want, turn on the option to notify team members by email
  • Click Create cards

Alternative: Create Cards Directly from a Template
You can also create cards directly from a template.

  • Go to Digital Business Card → Templates
  • In the template you want to use, click Users
  • Click Create cards for users

Phase 4: Send Cards to Team

  • Go to Digital Business Card → Digital cards
  • Select the cards you want to send by checking the box next to each one
  • Click Bulk Action on the right
  • Click Send email

Note: Emails are normally sent to users automatically by default. Use this step only if a user wants the card email again, for example because they deleted it or cannot find it in their inbox.

When a card is sent, the recipient receives an email with their QR code, the card URL, and options to add the card to Apple Wallet or Google Wallet.
