How to Distribute Email Signatures

Want to roll out your awesome new email signature to your whole team? You're in the right place! In this guide, we'll show you step by step how to distribute an email signature to a group in Spreadly.


Heads up:

You’ll need to have already created an email signature and set up at least one group in Spreadly. If you haven’t done those steps yet, check out our guides:


Don't forget: To see signatures directly in Outlook, make sure the Outlook Add-in is distributed to your users. See our guide on How to setup the Outlook Add-in.



Step 1: Go to Groups

In your Spreadly dashboard, head to the left navigation and click on Team > Members > Groups.

Here you’ll see all your groups. Click on the group you want to assign the signature to (for example, "Spreadbees").



Step 2: Open Templates & Email signatures

Once you’re in the group, go to the Templates & Email signatures tab at the top.

Step 3: Assign the Email Signature

In the Email signatures section on the right, pick the signature you want to distribute by toggling it ON. All users in this group will now have access to the selected signature. Make sure to hit Save after making your selection!


What happens next?

  • All members of the group will now have the selected signature available.
  • If you’re using Outlook, make sure the Outlook Add-in is installed for your users so the signature gets synced. Here’s the guide: How to setup Outlook Add-in.
