What Makes the Spreadly Signature Editor So Powerful?

1. Easy-to-Use Editor

Spreadly’s signature editor gives you a familiar WYSIWYG (What You See Is What You Get) experience. You can style your text, insert images, and add links—just like in your favorite document editor.

In the screenshot below, you can see the editor on the left and the live preview on the right:

Signature Editor and Live Preview

  • Rich text formatting: Bold, italics, links, tables, and more.
  • Insert images: Add awards, logos, or banners with ease.
  • Edit the HTML source code: For ultimate control, hit the source code button (see the last screenshot).

2. Live Preview for Any User

Instantly see what your signature will look like for any user in your organization. Just pick a user from the dropdown at the top of the preview panel:

  • Preview as anyone: Make sure your signature works for every team member.
  • Switch context: Test signatures for internal/external recipients, forwarded emails, and replies.

3. Dynamic Placeholders (Liquid Templating)

Say goodbye to copy-pasting info! Use placeholders to automatically insert each user’s name, position, phone, or any other profile field.

  • Type {{ user. }} and let the editor suggest all available fields:

Placeholders pull info directly from your user database—no manual updates required.

4. Conditional Content (Smart Signatures)

Want to show a different signature for external vs. internal recipients, replies, or certain departments? Use conditions powered by Liquid tags:

  • Example: Only show a mobile number if it exists, or display a disclaimer only for external recipients.

For advanced setups, see Using Conditions in Email Signatures.

Conditional Preview - External/Reply/Forwarded

  • Toggle "Recipient is external", "Is forwarded", and "Is a reply" to see what changes in the preview.
  • Reduce clutter in replies/forwards by hiding disclaimers or banners.

5. Show Sample Message Thread

Curious how your signature looks in a longer email thread? This ensures your design doesn’t get lost in conversation chains. Toggle the "Show sample message thread" option:

6. Edit the Source Code

Best Practices & Tips

  • Test for all scenarios: Use the preview toggles and user dropdown to catch any edge cases.
  • Keep it concise: Don’t overload your signature—focus on key info and maybe a small banner or award.
  • Use conditions wisely: Personalize for external vs. internal, but keep it clear for recipients.
